# Custom web development, for when a plugin isn't enough

Your website ends at the contact form, and the selling only starts after it: someone replies, asks about specifications, works out a price. We build that missing part, tailored to one specific process: a configurator, a client panel or a request workflow. The result should be one thing: an enquiry you can quote without five emails back and forth.

Starting point

## The form ends the page and starts manual work

Three situations that keep coming back in companies that sell on a quote, not a shopping cart. At an hour a day, you lose 250 hours a year to them, hours that never show up on any invoice.

**

### An enquiry that needs following up

The form sends through a name, a phone number and a request for a quote. Before anyone can price it, several messages go back and forth about dimensions, timing and scope.

**

### Price lists circulate as attachments

Distributors and regular clients email asking for current prices, availability and materials. The reply is always much the same, and last quarter's version is still living in someone's inbox anyway.

**

### Knowledge in one person's head

One person knows the pricing rules and the list of exceptions, because none of it is written down anywhere. Their holiday stops quoting altogether, and a new salesperson has to learn it all from scratch.

Definition

### What is custom web development, and when does it make the most sense?

**Custom web development is** a site with its own logic, built around one specific process instead of a ready-made template. It isn't the same as a site with a form: it calculates, checks permissions and remembers what happened before. Sometimes it's a module inside the CMS the rest of the site runs on, sometimes a separate web application alongside it. It makes sense wherever working around a plugin's limits costs more than writing your own code.

Starts with the process

First a map of what happens to an enquiry or a request, only then the views and buttons.

Roles and permissions

A salesperson sees something different from a trade partner, and every change stays in a history log. That's the difference from a spreadsheet.

Integrations instead of retyping

Data flows in and out automatically: CRM, ERP, warehouse, email. Manual work is only left where an actual decision is needed.

Scope

## What we design and build: functionality, CMS and UX

- ✓ A technical workshop: process map, input data, user roles and the edge cases nobody remembers
- ✓ Graphic design and UX for every view, spelling out what happens at each user decision
- ✓ Building a web application, or a module for the CMS the rest of the site already runs on
- ✓ Integrations with the systems you already have: CRM, ERP, warehouse, payment gateways, email
- ✓ An admin panel with permissions and a change history, so you can always trace who did what
- ✓ Edge-case testing and technical documentation, handed over together with the code

### The tools we use

WordPress as the CMS, when the rest of the site already runs on it A web application, when the process matters more than the page REST and webhooks for ERP and CRM integrations A Git repository on your side, with a full change history

Price

Quote after the workshop

Scope and timeline come out of the technical workshop, and the workshop itself is free. The quote that follows is binding and doesn't come from a price range. From workshop to launch usually takes 9 weeks or more.

Net prices. We set the scope and timeline after the workshop, no obligation.

### What this service doesn't cover

- We don't rewrite a working system just because it's old, if we can't see a real gain in it
- We don't build mobile apps under this scope; that's a separate service
- We don't take on projects without access to someone on your side who knows the process, because those end up being redone

How it works, step by step

## From technical workshop to launch

We work in stages, because the biggest risk in a project like this is building something nobody ends up using. After every stage, you decide whether we carry on.

1.

1

### Technical workshop

1-2 weeks

A process map, roles, input data and exceptions. We come out of it with a document you can actually quote the work from, not guess at.

2.

2

### Designing the logic and views

2-3 weeks

We spell out what happens at every user decision, and show you a clickable mock-up before a single line of code exists.

3.

3

### Building in stages

from 6 weeks

We hand over the first working piece early, so you can test it against real enquiries. The next ones follow once you've signed off.

4.

4

### Launch and handover

ongoing work

Data migration, team training, technical documentation and the repository on your side. We agree on further development separately, after the first weeks of real use.

Where this service ends

## When does a plugin stop being enough, and when is WordPress still enough?

Short answer

Custom web development makes sense when your site needs to do something no plugin does: a client panel, a configurator, a request workflow, an integration with your systems. When it just needs to present your offer and collect enquiries, WordPress or Astro will do that cheaper and faster.

The code is yours: the repository and documentation sit under your own account, not on JustIdea's server. The quote after the workshop is fixed, and a mid-project requirement change gets a price before it's done, not after.

![A site with its own process and integrations versus a site that presents an offer and collects enquiries](https://justidea.agency/assets/ill-projekt-serwisu.svg)

### This is the right service

- The site needs to run a process, not just describe it: login, a configurator, a workflow.
- It needs to exchange data with your system in both directions.
- Knowledge of the process lives in one person's head, and you want to put it into code.

### Start with something else

- The site just needs to show your offer and collect enquiries: that's WordPress websites.
- Speed and citability in language models matter, with no panel needed: that's Astro websites.
- It's about a store and an order, not a page: that's dedicated e-commerce solutions.

Other services

## Three pages to check before you order custom code

The first two describe websites that don't need custom code, because their job is to present an offer and collect enquiries. The third is the same work, just on the store side.

What it costs

## Building custom web development: what you pay once, and what comes after

At JustIdea we quote an application only after the technical workshop, because that's what shows how many processes and integrations are really in scope. You get one figure for the build and a separate rate for work outside it, with no subscription for the code itself. Hosting, the domain and SEO are separate bills you pay regardless of who built the site.

Types of builds

## Four types of builds clients order most often

A service name doesn't say much until you can see what's behind it. Every one of these four started with the client saying the same thing: we do it by hand, because there's no other way.

### A panel for trade partners

A separate login for distributors and installers: their own prices, downloadable materials, placing orders from a file, viewing statements. The company website stays a showcase, and partner service moves behind the login.

### A product or service configurator

The customer picks their own dimensions, material, finish and scope of work, and the site calculates a price and compiles a specification from it. An enquiry that comes in this way can be quoted immediately, because it's never missing a parameter.

### A document or request workflow

A form that kicks off a process: a service request, a warranty claim, an internal order. With statuses, notifications and a history, so it stops living in one person's inbox.

### A connection to the system you already work in

Data exchange with your CRM, accounting system or customer database, so it stops travelling by copy and paste. The least flashy build of the four, and the one that pays for itself fastest, because it removes work that repeats every week.

Client reviews

## A panel and a configurator get judged by the user after a year, not by the design on day one

Custom development proves itself in use, not on a mock-up: it takes a few months to see whether your team can run the panel without us, and whether enquiries from the configurator come through complete. So instead of promises, we show ratings of the whole agency from three platforms where clients leave them.

Certificates and partnerships

## Proof from two sides: process and code

A configurator, a client panel and a request workflow are process projects, not design projects. So instead of design awards, we show the statuses that say whose support we can call on when something stops working.

### Top Creative Agency Poland 2026

Clutch, ranking of creative agencies

A creative agency ranking for Poland. Clutch verifies every review with a call to the person who left it, so the ranking reflects projects that actually launched, not concepts from a slide deck.

### HubSpot Certified Partner

HubSpot, certified team partnership

A trade-partner panel and a request workflow both end up in the CRM, because someone has to handle them there. Team certification covers wiring a process like that into HubSpot on the events side, not just through a form.

### Google Premier Partner

Google, top tier of the Google Partners programme

An enquiry from a configurator can only be measured properly if you track the steps, not just the visit. The status gives us support from Google's side when setting up that kind of measurement.

Doubts before working together

## What we hear before the technical workshop

Four lines we hear before a custom project gets going. We don't brush off any of them, because each one has a point.

### “This will be expensive and take forever”

That's why the first stage ends with a quote and a written-out scope, not a range. Sometimes, after the workshop, JustIdea suggests a cheaper workaround using an off-the-shelf tool, because the numbers showed that custom code wouldn't pay for itself.

### “We'll be left with code nobody understands”

The repository is yours from day one, the code goes through review, and technical documentation is part of the handover. Changing contractor should then be a decision, not a leap in the dark.

### “Our team can't handle this”

You need one person on your side who knows the process and can settle open questions. The rest is on us. Without that person a project like this ends up being redone, so we say that at the start, not halfway through.

### “Maybe another plugin will do”

Often it will, and then that's what we suggest. The line is crossed once you have several plugins that start interfering with each other and every update becomes a risk. At that point, one thing built deliberately works out cheaper.

FAQ

## Custom web development: questions before you decide

**### How much does custom web development cost?**

The figure comes out of the technical workshop, where we break the process down into features, and only becomes binding after that. For comparison: a WordPress site starts from €1,230 net, while custom development costs whatever developer time the features no plugin can handle require. One-off work outside a fixed quote is billed at €80 net per hour. We don't give a range before the workshop, because for code written to order that would just be guessing.

**### When does a plugin stop being enough?**

When the cost of working around its limits is higher than the cost of writing your own code. In practice you see this in three ways. You already have several plugins and they're getting in each other's way. Every update means checking the whole site again. And none of them handle the single most important step in your process anyway.

**### Will I get the source code?**

Yes, from day one. We either set up the repository under your own organisation or hand it over together with the project, and technical documentation is part of the handover. The point is that changing contractor should be a business decision, not a move where something always gets left behind.

**### What if the requirements change partway through?**

A change of scope is a separate decision with a separate quote, not a surprise on the invoice. That's why we work in stages: after each one you see a working piece and decide whether we continue as planned or reorder what's next.

**### How is this different from a WordPress website?**

A WordPress site presents content and collects enquiries; custom development runs a process: it calculates, checks permissions, keeps a history and exchanges data with other systems. One doesn't replace the other. Most often they sit side by side on the same site: WordPress stays the CMS for content, and the process gets its own module.

## Custom web development: three things to work out before a quote

**

### When custom code pays off, and when it doesn't

When the process is a genuine advantage for the company, or when running it manually costs hours of work every week. A simple sum: two hours a day retyping data comes to over five hundred hours a year, which is a budget you could use to build a tool that does the same thing without mistakes. If the process is a standard one that rarely changes, an off-the-shelf tool usually wins.

**

### A web application versus a module in an existing site

If the rest of the site runs on WordPress and the new feature should be part of it, we build a module and keep a single login. If the tool needs to live alongside the site with its own users and its own data, a separate web application makes more sense. The decision gets made at the workshop and follows from who actually uses it, not from technical preference.

**

### Integrating a website with your ERP: what we agree before quoting

The interface isn't what takes the most time, agreeing on the data is: what counts as the source of truth, what happens on a conflict, and how the same document looks on both sides. That's why we ask for access to the API documentation at the quoting stage, not partway through the build, when it turns out the integration needs a middleman. An off-the-shelf tool is maintained by its vendor; a custom connection is the responsibility of whoever wrote it, so we agree the support terms together with the scope.
